Job Description

The Shipping and Receiving Coordinator is a highly responsible position requiring an individual with sound judgment and the ability to do equipment, supply, and material inventory.  The incumbent in this position is directly responsible for the daily receipt of equipment and supplies ordered by Authority staff, maintenance of inventory logs, establishing reorder requirements for routine supplies, the general appearance of inventory facility, and monitoring equipment and supply distribution.  The incumbent in this position reports directly to the Manager, Business Services.

  • Ability to walk extended distances and climb stairs to access the interior and environs of the Center.

  • Ability to converse orally and utilize standard telephones and two-way radios to receive and communicate information to staff and customers.
  • Ability to lift, push, pull and manipulate equipment and objects weighing upwards of 50 pounds.

  • Maintains an irregular work schedule as required for servicing events and routine receipt of orders.
  • Receives equipment and supplies, operating forklift, as appropriate. Checks product for obvious deficiencies and against Purchase Order to ensure correct receipt. Delivers orders to appropriate Department. Interfaces with purchasers regarding backorders, broken or non-working equipment and other related issues.
  • Ensures that all Authority policies and requirements are met in receiving or returning merchandise. Completes paper copy of material receipt form and distributes copies to Accounting, Purchasing and the originator, as appropriate. Inputs data in computer in accordance with Authority requirements.
  • Maintains internal warehouse areas in a neat, orderly and safe manner.
  • Monitors and secures the safekeeping of facility equipment and supplies from receipt through delivery.
  • Maintains the Records Management Project. Interfaces with Authority staff and the records holding contractor to ensure proper packaging, labeling and transfer of retired records.
  • Tags all physical items throughout the Center, including furniture, file cabinets, computers, etc., and delivers to appropriate department.
  • Oversees the operation of the mailroom in the absence of the Office Services Assistant.
  • Performs other related duties and tasks as assigned.


  • High School Diploma or equivalent; AND
  • Three (3) years experience maintaining warehouse records of receipt and distribution for a commercial, or closely related, supply organization.
  • Valid Motor Vehicle Operator’s License.
